Under the direction of the Director, Meetings coordinate technical logistics for all meetings. Assist in the coordination of registration, virtual meeting platforms and tools, and contribute staff support to Meetings Managers and Director, Meetings & Exhibits. Assist with organization activities and special projects as directed.

Essential Job Functions: (duties may not be ranked by order of importance)

  1. Perform duties of Registrar for AGD annual scientific session. This includes assisting in building the registration system, answering registrants’ and exhibitors’ inquiries, and processing refunds and course changes. 
  2. Coordinate training and manage on-site temporary registration staff at AGD annual scientific session.  
  3. Assist in mobile app content creation for AGD scientific session. 
  4. Assist in building educational course content in registration system for AGD scientific session. 
  5. In addition to AGD scientific session assistance, provide on-site support for meetings hosted in AGD Headquarters, including set up, tear down, building advisories, attendee communication, and catering. 
  6. Manage housing and registration for AGD leaders and staff for ancillary meetings. Provide updated reports on travel, housing and meeting related logistics.
  7. Request vendor cost proposals, monitor budget requirements, and process invoices as needed to support Meetings Managers. 
  8. Track contract signature process, deposit schedule, reconcile corporate credit card balances, review monthly finance ledgers for discrepancies.
  9. Other duties as assigned.

Minimum Qualifications for Consideration:  

Education: Bachelor’s Degree in Hospitality preferred or equivalent experience.  

Credentials (years of experience): At least three years professional experience in meeting planning or hotel/convention center work. Association background helpful.  

Knowledge, Skills and Abilities:  Be able to communicate effectively and tactfully with AGD members, suppliers, and staff and present a positive image of AGD through these communications. Possess exceptional PC skills, including MS Office and AMS systems with ability and willingness to learn new software and programs as required. In addition to exceptional PC skills, must have experience with virtual event tools including web application development, registration platforms, and webinar services. Be flexible, adaptable, and able to work on a wide variety of tasks independently and in a team structure and understand meaning of confidentiality. Possess the ability to meet deadlines, set priorities, work independently, and demonstrate a high degree of attention to detail. Possess exceptional organizational skills, excellent customer service skills, and clear oral and written communications skills with ability to take meeting minutes. Ability to work overtime and travel as needed.
